The official language of the Meeting is English.

Visa

Visa regulations depend on your nationality and country of origin. We suggest you contact your local Belgium Consulate for official instructions on the specific visa regulations and application procedures that may apply to you. It is the responsibility of the participant to obtain a visa if required.

Letter of Invitation

An official personalised letter of invitation will be provided to registered participants as part of the registration procedure. This invitation is prepared solely for the purpose of visa applications and is not a commitment on the part of the organizers to provide any financial support or confirmation of inclusion in the Scientific Programme. Invitation letters can be provided electronically (PDF) or as a hard copy if required. Hard copies will be mailed via regular post free of charge. In case of special delivery (courier) request, the participant will be responsible for all charges.

Prescriber / Non Prescriber

Support from pharmaceutical partners helps make this event possible.  As such, it is important that we comply with the various codes and directives relating to the manufacturing, distribution, and marketing of pharmaceutical products. The European Union directive (2001/83/EC, article 86) provides guidelines relating to medicinal products for human use. Within these guidelines is the restriction that access to pharmaceutical product marketing activities (exhibit booths, satellite symposia, etc.) must be limited to only those participants licensed/authorised to prescribe or supply medicinal products.

All participants, with the exception of the exhibitors are asked the following question during registration:

Are you licensed/authorised to prescribe or supply prescription only medicines?

Yes: You may access the prescriber’s only exhibition area.

No: Please do not access the prescriber’s only exhibition area.

ESID will assign different colour lanyards to prescribers and non-prescribers for the 2019 Meeting:

• White lanyard: Prescribers
• Purple lanyard: Non Prescribers

All registered meeting delegates will have access to the exhibition and poster area in Grand Hall 1.

All pharmaceutical company exhibit booths will be located in Grand Hall 2. For the duration of ESID 2019, this area of the exhibition will be restricted to Prescribers only.

Climate

September brings shorter days with only 5 hours of sunshine to enjoy on average. Additionally, it’ll rain for half the month and the lowest temperature is 11C, while the highest is 19C.

Dress Code

Participants are advised to wear business casual for all Meeting functions and programmes.

Guest Attendance Policy

All event activities (including educational sessions, meal functions, exhibit hall, etc.) are exclusively reserved for registered attendees. Non-registered guests (including children, family members, colleagues, etc.) are not allowed in any of the event areas. Badges provided at registration are required for entrance into all functions and will be strictly enforced.

Liability and Insurance

Please do not leave bags or suitcases unattended at any time, whether inside or outside the session halls. Hotels strongly recommend that you use their safety deposit boxes for your valuables.The Meeting Secretariat and Organizers cannot accept liability for personal accidents or loss of or damage to private property of participants. Participants are advised to take out their own personal travel and health insurance for their trip.
